Job Photos & Files
The Jobs > Job Photos / Files section manages photos and documents for job sites.
Employee Workflow:
- Select the job from the dropdown.
- Take a photo using the device camera, or upload from the photo library. Batch upload is supported, select multiple photos at once.
- GPS location is captured automatically and embedded in the photo.
- Optionally add a caption describing the photo.
- Submit, the photo is saved and a thumbnail is generated.
Admin Features:
- Browse: Navigate by job, then by photo folder or week. Photos can be organized into folders (Before, After, Progress, etc.) or viewed chronologically.
- Photo Folders: Move photos between folders. The nightly AI classification job (1) auto-files unorganized photos into your existing folders and (2) when a photo fits no folder, proposes a new folder name. Review these new-folder proposals on the Folder Suggestions page, Accept creates the folder, Dismiss discards it. The classifier also learns from your corrections: when you move a photo out of the folder the AI picked, future nightly runs avoid that mistake.
- Gallery View: See thumbnails, dates, captions, and GPS coordinates in a table.
- Photo Detail: View the full-size photo with an interactive map showing the geotagged location, job details, caption, and download options.
- Video Upload: Upload video files alongside photos. Videos are stored with the same job/folder organization as photos.
- AI Photo Reports: Generate AI-powered PDF reports from job photos with automatic descriptions, progress narratives, and professional formatting. Great for client updates and project documentation.
- Download ZIP: Download all photos for a job/folder as a ZIP archive.
- Download PDF: Download a formatted PDF report with all photos for a job/folder, including captions, GPS coordinates, and Google Maps links.
- Duplicate Detection: The system detects and flags duplicate photo uploads to keep libraries clean.
- Delete: Remove a photo and its files. Admins only, viewers cannot delete job photos.
Employee Views:
- Photo Library: Browse uploaded photos with search and date filters.
- Job Files: View non-image documents (PDFs, scope of work documents) uploaded to jobs.
- Job Hub: A centralized project workspace showing all photos, files, estimates, and activity for a single job in one view.


Photo Folders
Navigate to Setup Items > Photo Folders to organize job photos into meaningful categories.
- Photo folders let you organize job site photos by type (e.g., "Before", "After", "Progress", "Damage", "Materials").
- Add Folder: Enter a name and sort order.
- Default Folders: New companies receive a default folder set matched to their business type. Best Decision Project Tools includes presets for 12 trades, General Contracting, Cleaning, Lawn Care & Landscaping, Plumbing, Electrical, HVAC, Roofing, Roofing/Siding/Gutters, Real Estate Investing (house-flipping and rentals), Sewer Repair, Drywall & Painting, and Audio/Video, Network & Security, or 'None' for a blank slate. Changing the business type in Settings can reseed the folder list to that trade's defaults.

- CSV Import: Bulk import folders from a CSV file.
- Activate / Deactivate: Deactivated folders are hidden from dropdowns.
