QuickBooks Online Integration
Push field-captured expenses to QuickBooks without double entry.
QuickBooks Online
Push estimates, invoices, receipts, and payments to QuickBooks Online so you don't have to double-enter data.
Setup:
- Navigate to Admin > Settings and click Connect to QuickBooks. You'll be redirected to Intuit to authorize access. Requires a QuickBooks Online account.
- Once connected, the Settings page shows your QBO company name and connection date.
- To disconnect, click Disconnect from QuickBooks. You can reconnect at any time.
Push to QBO:
- Estimates: On the Estimate Detail page, click Send to QuickBooks to create or update the estimate in QBO.
- Invoices: On the Invoice Detail page, click Send to QuickBooks to create or update the invoice in QBO.
- Receipts: On the Receipt Detail page, click Send to QuickBooks to create the receipt as an expense purchase in QBO.
- Payments, fees & refunds: Paid invoices post a QuickBooks Payment to your chosen bank account, the Stripe processing fee posts as an expense, and Stripe refunds post as a Credit Memo, automatically when Auto-sync is on.
Sync from QBO:
- Sync Items: Pull products and services from QBO and auto-match them to your Products & Services library. Review matches before confirming. Items that don't auto-match your library are surfaced on a review screen so you decide which to import, nothing is silently imported or dropped; skipped items are remembered (resettable). If a push to QuickBooks fails, the record is flagged with a visible error rather than reported as synced, and the system never duplicates or blindly overwrites a QBO record.
- Sync Expense Categories: Pull expense accounts from QBO and auto-create matching Expense Categories.
- Sync Customers: Pull customers from QBO and match to your customer records.
- Auto-Create: When pushing an estimate or invoice, the system can auto-create missing QBO items from your Products & Services library.
Stripe + QBO Payment Sync:
- When both Stripe and QBO are connected, a Stripe + QuickBooks Payment Sync panel appears in Settings.
- Click Configure Payment Sync to choose which QBO bank account receives Stripe deposits and which expense account records processing fees.
- Enable Auto-sync to automatically record each Stripe payment and fee in QBO as they occur.
- Manually sync individual payments or bulk-sync from the Payment History page.
