Project Management
Use Project Management to plan work across a project board, a dated Gantt schedule and a company portfolio. A project has its own name and plan dates; linking an estimate does not change the estimate's dates.
Get started: Create a project from the project list, or choose New project from estimate… to create and link one together. With estimate access, an estimate's Create project plan or Open project plan action takes you to the same project.
- Board: Add tasks or zero-duration milestones to the To do, In progress and Done columns. Open a task for its details, assignees and activity. Move cards by dragging or using their Move controls. Moving to Done records PM completion; field check-offs remain separate evidence.
- Link and import: With permission to manage PM and view estimates, link available estimates in the board's Estimates and source tasks section, then select Import job tasks. Imports include active tasks from the linked estimates, their change orders and jobs. Importing again adds only new tasks. Unlinking an estimate keeps imported PM tasks.
- Gantt: Switch from Board to Gantt to see tasks, milestones, deadlines and dependency warnings. Managers edit Start and Duration in the table; Finish follows the company's working week. The table is also the phone editor. A pinned task keeps its saved dates until you deliberately change them; unpinning alone does not recalculate dates.
- Baseline: Managers can set a baseline from the Gantt toolbar and confirm replacing it later. This saves the current task dates without moving the working schedule. Baseline slip is shown in working days; linked-estimate date comparisons use calendar days and require estimate-view permission.
- Dependencies and cascade: Add finish-to-start links, with lag in working or calendar days. Moving a predecessor later can offer a preview of later successor dates. Review proposed changes, deadline breaches and pinned-task conflicts before applying. Declining keeps the original edit and leaves any unmet links visible. Shortening a task does not automatically pull successors earlier; archived tasks do not constrain links.
- Portfolio: Open Portfolio to compare project plan dates over the September–June planning season. Filter by status or, where available, My projects, and expand a project for task detail. Managers can edit project plan dates; task dates and estimate dates stay separate. Estimate comparisons appear only with estimate-view permission.
- CSV export: Export a project's task list from its board, or export the current portfolio summary. Task exports include active and archived tasks, their saved dates, duration, column, completion, assignees and predecessors. Exports require PM view access; estimate facts are included only with estimate-view access. Exporting does not change the plan.
- Completed and archived: A banner identifies the project's status. Managers can still edit the project; the status does not lock it.
- Working week: Review the company calendar in PM settings before entering dates. Changing the working week does not silently rewrite saved task dates; review the notice and recalculate affected tasks deliberately.
- Activity: Project and task activity show PM changes alongside linked field check-offs and resets, with dates and times displayed in the company's time zone.
Permissions and visibility: PM viewers can read plans and export CSV; managers can change them. Estimate access is separate. Company admins can show or hide Project Management under Settings > Features & Modules without deleting project data. The feature may be unavailable while its staged rollout is disabled.
