Every Signature and Every Check Costs You a Phone Call

The estimate went out Tuesday. By Friday nobody has signed it, the deposit hasn't come in, and your office manager has left two voicemails. Meanwhile last month's invoice is still open because the customer "never got it."

Here's what that chasing adds up to: say your office sends 40 estimates and invoices a month and spends 20 minutes following up on each one. That's more than 13 hours a month of calls, texts, and resent emails, before anyone asks for a copy of the insurance certificate or last year's statement.

The Customer Portal puts all of it in one place the customer can reach on their own: what they owe, what's waiting for their signature, when you're showing up next, and the documents you've shared. Your office stops being the middleman for every one of those questions.

How the Customer Portal Works

You set it up once from the office computer. Your customers use it from their phone or laptop, whenever it suits them.

1

Send the Sign-In Link

The portal is on for every new company. Open a customer, go to the Portal tab, and click Send sign-in link. They get a one-tap link by email that works once and expires after 15 minutes. A spouse, property manager, or accountant can get their own login too.

2

They Sign the Estimate and Pay the Deposit

Email the estimate with the PDF attached and a button to the approval page. On a $10,433.00 roof with a 10% deposit, the customer types their name, clicks Accept, and goes straight to a secure Stripe page to pay the $1,043.30. The estimate flips to Accepted and your team gets notified.

3

They Pay Invoices and Pull Their Own Paperwork

Customers pay open invoices by card, or by ACH bank transfer if you turn it on. They can download a year's account statement as a PDF, see their upcoming and past visits, and open the folders you've shared with them, so "can you resend that?" stops landing on your desk.

Job Done, Review Requested

Mark the job complete and a review request goes out at your send hour (9:00 AM unless you change it). The customer rates the job and can leave a comment. You can cancel the request from the job page before it sends.

Reviews

From Job Complete to a Customer Review

Ask while the job is fresh, and hear about a bad experience first.

What Your Customers Can Do

Most areas have their own switch in Settings, so customers only see what you want them to see.

Sign Estimates Online

Customers review the estimate and total, type their full name to accept, and add a note if they have a question. Prefer paper? The approval page and the client PDF both carry a print-and-sign block.

A Locked Copy of What They Signed

Acceptance records the typed name, the time, the IP address, and a content hash of the estimate as shown. View Signed Document rebuilds that copy and checks it against the hash, so you can show exactly what was agreed.

Pay by Card or ACH

Open invoices show a Pay now button. Customers pay by credit card through your Stripe account, or by ACH bank transfer when you turn it on. Deposits are collected right after an estimate is accepted.

Schedule, Statement, and History

Customers see their next visits and the ones already done, download an account statement for the year as a PDF, and scroll a timeline of past jobs. That covers most of the calls your office answers.

Shared Document Folders

Each customer gets their own folders. You choose what to share, and customers can upload files back to you. Every upload is safety-scanned before it appears, and new uploads carry a New marker until someone on your team opens them.

Sign Contracts in the Portal

Mark a shared PDF as a contract and the customer can sign it with their typed name. The signature is tied to that exact version of the file, so if the contract changes, the old signature doesn't carry over to the new one.

Photos Both Ways

Customers see the progress photos you mark client-visible. They can send you photos too, like a leak or a cracked tile, tagged to their job. Those land in a review queue and nothing shows until you approve it.

Their Info, Properties, and Subscriptions

Customers keep their own contact details, extra contacts, and service addresses up to date. On recurring services you let them manage, they can pause for 30 days, resume, or cancel without calling.

Installs Like an App

The portal runs in the phone browser and can be added to the home screen like an app, with your company name and brand color, and your logo as the icon once you've uploaded one. Nothing to download from an app store.

🤝 Refer-a-Friend

Turn Happy Customers Into Referrals

Every customer gets a personal referral link in their portal, with one-tap buttons to share it by text or email, or a form to invite someone directly. The friend lands on a quote request page for your company.

Each referral is logged to the customer who sent it, and the Reviews page ranks your top referrers, so you know exactly who to thank. Reviews that customers agree to make public, and that you choose to feature, show on a public testimonial page.

Who It's For

Remodelers and Builders

Bigger estimates, bigger deposits, and more paperwork. Get the signature and the deposit in one step, keep a locked copy of what was approved, and share contracts and documents in one place.

Recurring Service Companies

Customers see when you're coming next, pay their invoices online, and pause or cancel the services you let them manage, without a phone call to the office.

Property Managers and Commercial Accounts

One customer, several properties, and several people who need access. Each contact gets their own login, and statements and documents are there when their accountant asks.

Customer Portal FAQ

Do my customers need a password or an app to use the portal?

No. Customers sign in with a one-tap link emailed to them. Each link works once and expires after 15 minutes, so there is no password to remember. The portal runs in the phone browser, and customers can add it to their home screen like an app. It shows your company name and brand color.

Can customers pay online through the portal?

Yes, once you connect Stripe. Customers pay invoices by credit card, and by ACH bank transfer if you turn ACH on in your payment settings. If you set a deposit on an estimate, the customer is sent to a secure Stripe payment page to pay it right after they approve.

What proof do I have of what the customer approved?

When a customer accepts an estimate online, BD Project Tools records the name they typed, the date and time, their IP address, and a content hash of the estimate exactly as they saw it. From the estimate you can open View Signed Document, which rebuilds the signed copy from that saved snapshot and checks it against the hash.

Can I control what customers see in the portal?

Yes. Each area of the portal, including estimates, invoices, schedule, documents, photos, service history, reviews, and referrals, has its own switch in Settings. Customers only see the photos and documents you share with them, and photos a customer uploads wait in a review queue until you approve them.

How do review requests work?

Mark a job complete and BD Project Tools schedules a review request email for your chosen send hour, 9:00 AM unless you change it. You can cancel it from the job page before it goes out, or send one from any customer record with one click. Customers rate the job 1 to 5 stars and can leave a comment. A rating of 1 or 2 stars emails your team an urgent alert so you can make it right.

Is the Customer Portal an extra charge?

No. The Customer Portal is part of the full BD Project Tools platform, which is included on every plan. It is turned on for new companies by default.
